1. How to Cancel or Reschedule

All appointment bookings, cancellations, and rescheduling are handled through WhatsApp. Simply message us at +91 91819 14735 and we'll take care of it.

There is no cancellation form or online portal — a WhatsApp message is all you need.

2. Cancellation with Advance Notice (4 Hours or More)

If you cancel at least 4 hours before your scheduled appointment:

There is no cancellation charge.
You are welcome to reschedule for any available date and time.
No explanation is required — life happens.

3. Same-Day Cancellations

If you cancel less than 4 hours before your appointment:

We understand emergencies happen. There is still no cancellation charge.
However, the slot may not be fillable on short notice, which means other patients lose the opportunity.
We kindly ask that you reschedule as soon as possible to help us serve all patients better.

4. No-Shows

If you do not arrive for your appointment and did not contact us:

For the first or second occurrence: no action is taken. We'll reach out via WhatsApp to check if you're okay and help you rebook.
For repeated no-shows (3 or more): we may ask you to confirm your appointment a few hours beforehand before reserving a slot.

We always prioritise patient care over strict policies. If you had a genuine emergency, please let us know — we understand.

5. Rescheduling

You can reschedule your appointment any number of times, subject to availability. To reschedule:

Message us on WhatsApp with your preferred new date and time.
We'll confirm the new slot within a few hours during clinic hours (Mon–Sat, 10AM–7PM).

6. Payments and Refunds

Odonto Care Dental Clinic does not accept advance payments for appointments. All fees are paid in person at the clinic (cash or UPI) at the time of service.

Because no advance payment is taken, there is nothing to refund for a cancelled appointment.

For multi-session treatments (e.g., dental implants, orthodontic treatment) where partial payments have been made mid-treatment, refund eligibility will be assessed case by case in discussion with Dr. Hannan, based on the work already completed.

7. Clinic-Initiated Cancellations

In rare cases, we may need to cancel or reschedule your appointment due to an emergency, a clinic closure, or unforeseen circumstances. In such cases:

We will notify you via WhatsApp as early as possible.
We will offer the earliest available alternative slot at your convenience.
If a payment had been made for that specific session, it will be fully credited to your next appointment.

8. Emergency Dental Care

If you are experiencing a dental emergency (severe pain, swelling, trauma, or a knocked-out tooth), please message or call us immediately at +91 91819 14735. We will do our best to see you at the earliest available opportunity, even on short notice.
